As the Executive Assistant (EA), you will be responsible for providing a full-range of administrative support to the Vice President and General Manager (VP/GM) and some of the direct staff of the Maritime & Strategic Systems (M&SS) business.   You will prioritize and manage the VP/GM’s calendar, meeting and travel schedules and associated arrangements, expense and time reporting, and other responsibilities so the VP/GM can focus on successfully running a business enterprise.  As such, you will be working with and supporting the Leadership Team of a large, geographically dispersed business with functional leaders from across the GDMS enterprise. In your role, you will also work closely with and support members of the VP/GM’s immediate staff, including the Director of Operations, Director of Program Execution, and the Controller. You will be counted on to interface both internally and with external customers, working closely with their EAs to coordinate logistics for our business’ operating rhythm, meetings and special events, to include VIP visits.  In this role, you are a valued member of the M&SS leadership team and are critical to the success of the business.    

Areas of strength needed for this position include impeccable organizational and collaboration skills. Experience and skill with Microsoft Office tools, including SharePoint, and other methods/tools is required.   Experience and skill with event planning organize, plan, communicate, and manage activities and reviews ranging in size from small (2 people) up to the entire M&SS organization (~3000 people) is required.   Experience and skill to organize/manage the business information is required.    You will work closely with internal and external communications team to schedule and facilitate the VP/GMs employee engagement events and communication strategy. We will rely on you to organize and manage senior staff meetings, quarterly reviews, strategy sessions, and special assignments.

Excellent communication and writing skills are a must.  You will be asked to prepare meeting agendas and compile materials for use in meetings, discussions, and presentations.  You will compose correspondence, capture meeting notes and action items, monitor external/internal communications, and addresses communications in an expeditious manner, bringing critical issues to the executive’s attention.  You will also compile, draft, proofread, and finalize high-level written correspondence that is consistently error-free.

As a result of these responsibilities, you must be flexible to work overtime and/or outside of normal business hours when necessary and must demonstrate maturity, high initiative, trustworthiness, timeliness, precision, and adherence to confidentiality at all times. Business travel is sometimes required to fulfill the position responsibilities. It’s your chance to put your talent to the ultimate test.

What you bring to the table:

  • Bachelor’s degree and a minimum of 3 years administrative, business, and/or technical support experience, or a minimum 10 years of Administrative Assistant experience with at least 2 years supporting at the senior level management. The best candidates will have a bachelor’s degree in management or business and 10 years relevant experience
  • Seamlessly organizes, prioritizes, and schedules the critical components of a Vice President’s day-to-day job responsibilities
  • Manage frequently-changing schedules and appointments as well as coordination of projects and tasks
  • Ability to compose correspondence, capture meeting notes and action items, monitor external/internal communications, and address communications in an expeditious manner, bringing critical issues to the executive’s attention
