Purpose/Objective:
Provides a wide range of highly confidential operational, administrative, technical and analytical support to the Human Resources division. Ability to work in a very busy environment and juggle multiple priorities while often handling sensitive, confidential information. 

Key Accountabilities:

Administrative:
Provides support for HR initiatives such as internal and external audit preparation, succession planning, strategic planning, and talent management
Analyzes data, composes correspondences and memos, type documents, create reports, prepare materials for presentations, plans and schedules meetings
Creates employee change forms as directed by HR Business Partners; maintains electronic change form folder & corresponding backup information
Ensures timely communication of staffing changes, new hires, bereavement notices and other announcements to facilitate employee communication
Prepares HR related invoices and maintains electronic HR Invoice folder, tracks annual recruiter hire expenses, reconciles monthly corporate credit card expenses
Ensures office supplies are in stock, and analyzes supply consumption
Oversees education assistance process; tracks course enrollment in accordance with policy guidelines; processes invoices, tuition check requests, & ACH reimbursement on behalf of employees; responsible for outreach to colleges to notify of pending employer payments; updates Educational Opportunities policy, as necessary
Maintains ADP Portal homepage.  Maintains & updates HRIS employee portal registration instructions, as necessary
Serves as backup for HR Assistant – Staffing Specialist, as needed

Compliance:
Maintains electronic Form I-9 database, including employee name changes and terminations. Ensures compliance with retention guidelines for terminated employee Form I-9s (physical copies)
Responsible for completion of operating tests
Responsible for third party vendor onboarding in collaboration with Vendor Management Office; completes third party vendor analysis & third-party risk assessment for all new HR vendors
Responsible for maintaining a variety of required Human Resources records in an organized manner to provide easy accessibility and to ensure record retention guidelines are met. Maintains electronic HR materials, public documents and files. Maintains internal HR SharePoint site
Maintains active and terminated file rooms; ensures record retention guidelines are met and are in compliance
Ensures compliance with all banking laws, rules, regulations, and prescribed policies/practices/procedures necessary to reduce risk and uphold ethical standards related to and required by one’s duties

Education:
High school diploma
Some college or additional education preferred

Experience:
5+ years’ experience as an administrative assistant or support function in a progressively demanding role
Well-rounded general Human Resources experience

Skills & Knowledge:
Proactive, self-starter
Highly detailed with excellent organizational, administrative, analytical and technical skills
Proven ability to demonstrate accuracy and thoroughness 
Advanced Microsoft Office skills 
Working knowledge of Visio
Ability to maintain confidentiality  
Ability to adapt to change and manage competing priorities 
Exceptional written and verbal communication skills 
Highly effective interpersonal skills to interact with all levels of internal and external customers
