Description: | POSITION SUMMARY The Charter Office Administrative Assistant is a calendar-year, full-time position that reports to the Director of Operations. The Charter Office Administrative Assistant works with the Charter Office team to welcome families, guests, volunteers, community members, staff, and visitors to the school while ensuring that safety protocol and procedures are observed. The Charter Office Administrative Assistant manages communications, including attendance, transfers, calls and emails, and handles additional office projects and workflow as assigned. EXPECTATIONS AND RESPONSIBILITIES School Receptionist - Welcome students, families, teachers, visitors to the school. Serve as the main front desk contact as needed throughout the day
- Answer the phone and direct calls appropriately
- Process student absences, tardies and dismissals and enter all codes into PowerSchool
- Communicate student attendance issues with families each day, including tardies and absences.
- Assist with student accountability throughout the day, and during emergencies and drills
- Other duties as needed
Charter Office Support and Operations: - Monitor the “BART Info” email account; respond and forward messages appropriately
- Retrieve mail and packages from the post office each day, and distribute to faculty and staff mailboxes
- Send “school attending” reports from MA schools, yearly
- Process student records transfers, transcript requests and electronic applications
- File official and unofficial transcripts each year
- Organize and complete large mailings and some photocopying jobs
- Provide support for fundraisers and other school events
- Post job openings on various sites
- Coordinate and confirm transportation and lunches for specific field trips
- Other duties as needed
Provide support to the Admin team, and take on other duties towards the smooth running of school operations, as directed by the Director of Operations or the Executive Director. |
| Requirements: | QUALIFICATIONS - Excellent interpersonal skills and ability to work with a wide range of people
- Minimum of a high school diploma, some college or more preferred
- Strong customer service orientation; friendly and accommodating
- Ability to manage, de-escalate, and triage conversations with upset and/or frustrated family members or community members
- Strong work ethic with ability to focus on performing at a high level in a sometimes noisy or chaotic environment
- Impeccable integrity and a commitment to excellence
- Ability to handle sensitive and confidential information effectively with maturity and discretion
- Keen attention to detail and respect for accuracy
- Strong computer skills, including email and google suite software, internet searches, and office productivity software (e.g., mail merges); experience with using database software desired.
- A team player with a sense of humor who enjoys working with students.
