District Grants Coordinator/Accounts Payable/Central Office Assistant

The Southern Berkshire Regional School District has a vacancy for a District Grants Coordinator / Accounts Payable/ Central Office Assistant. The ideal candidate will possess the following skills:

Minimum Qualifications: 

  • Strong computer skills including MS Word, Excel, Infinite Visions - Accounting/Personnel Program
  • Knowledge of Federal and State grants
  • Excellent communication and organizational skills
  • Accounting experience preferred

Duties:

  • Grants:
  • Assist program/grant managers with preparation of grant applications including new program development
  • Monitor grant budgets and expenses
  • Review purchase orders to ensure that purchase falls within grant parameters
  • Prepare and submit requests for funds from the state/grant organization
  • Keep program/grant managers and business administrator informed of financial and programmatic status of grants
  • Set up grant accounts and enter grant budgets in Infinite Visions accounting computer program
  • Maintain detailed records for filing and accounting for federal, state and private grants

Deposit Checks and Cash into District bank accounts

  • Accounts Payable:
  • Input all invoices for bi-weekly warrants; print checks; assemble invoices and checks for mailing
  • Process invoices and obtain signature form appropriate individual/department
  • Assist staff and vendors with purchase orders and respond to invoice inquiries
  • Prepare monthly P-Card warrants and account for all district P-Card charges
  • Submit orders to Amazon and Staples for all district employees
  • Assist with yearly district audit
  • Generate 1099s every year

 Central Office:

  • Use computer software applications to prepare tables, charts, spreadsheets, memos, reports as required
  • Compose correspondence
  • Perform special projects, as required
  • Prepare for printing, updates and distribution of district reports and other publications pertaining to business operations
  • Prepare bid documents and advertisements; participate in bidding process
  • Coordinate student transportation (and billing) needs for the district including reserving vans and buses for field trip
  • Handle all district tax exempt issues
  • Reception by phone or in person; refer messages and respond to routine telephone inquiries
  • Sort incoming mail, faxes and courier deliveries for distribution
  • Monitor community entrance; admit visitors in accordance with district policy
  • Monitor departmental materials and supplies, and order as needed

 Salary: $65,000/per year

 12-month, 8 hours per day position.  Excellent benefits provided.
