Job Summary

Pine Cobble School seeks a detail oriented and highly organized Advancement Associate to support the daily operations of the Development Office. This part-time, temporary role will balance database and gift administration with donor communications and outreach, ensuring strong operational support during the search for a full time team member.

Duties and Responsibilities

Data Management & Gift Administration (Approximately 80%)

  • Manage and maintain the donor database, ensuring accuracy and integrity of records
  • Process gifts in a timely and accurate manner and handle gift information with discretion
  • Generate and coordinate outgoing acknowledgements and tax receipts
  • Assist with list preparation for advancement initiatives
  • Assist with donor research and data entry related to interactions with donors
  • Provide support for the Founders’ Day Celebration, including assistance with silent auction and sponsorship tracking and ticket sales

Communications & Donor Outreach (Approximately 20%)

  • Support outgoing communications to donors regarding school news, fundraising initiatives, and upcoming events
  • Assist with drafting event-related messaging and appeals
  • Support communications and event coordination as we seek to build out alumni programming and re-build alumni leadership structures

This is a temporary, part-time hourly position (10–20 hours per week) supporting the work of the Development Office during a vacancy and until a full-time position is filled. Option for a hybrid schedule is possible with the right candidate.

Qualifications

  • Strong attention to detail and organizational skills
  • Proficient with Google Suite and Microsoft Office applications, particularly spreadsheets and data manipulation in Google Sheets and Microsoft Excel
  • Experience with database management and data entry 
  • Ability to follow technical processes to maintain data integrity and promote operational efficiencies
  • Ability to meet deadlines and manage competing priorities
  • Ability to take direction well and respond constructively to feedback
  • Excellent written and verbal communication skills
