Description:

The Town of Adams is accepting applications for a qualified individual to fill the position of Administrative Assistant II in the Town Clerk’s Office. This position performs a wide range of support functions in a fast-paced office environment including, but not limited to census data management, dog licensing, disseminating vital records, election administration, and assisting customers at the office service window, telephone and internet. Applicants must have strong computer skills, including intermediate to advances excel knowledge and comfort with multiple database management programs. The ideal candidate will be highly energetic, accurate and possess excellent communication and organizational skills. Strong attention to detail, accuracy, and a high level of discretion are essential in this position. In the absence of department head, responsible for basic decisions to maintain office operations.

Applicants must be able to juggle multiple tasks, maintain multiple phone lines and have a strong commitment to customer service. Applicants should possess a high school diploma, associate’s degree in administrative skills; business related or field preferred or five years in governmental record keeping or administrative assistant experience; or equivalent combination of education and experience.

Hourly rate is $20.53 to $26.93 depending on qualifications. This is a full-time, 35-hour per week position with benefits including paid time-off, State/Federal Holidays, pension, health, life and dental insurance. Deferred compensation plan is also available. Requirements:

Minimal physical effort is required in a typical office setting.  Position requires ability to operate a computer, typewriter, calculator, cash register and voting equipment.

Ability to lift up to 50 pounds for ballots and books.

Position requires standing and sitting for long periods of time at work, polling place during elections and at Town Meeting.  May be required to set-up and maintain voting equipment. 

Education and Experience

High school graduation, Associates Degree in administrative skills; business related or field preferred or five years in governmental record keeping or administrative assistant experience; or equivalent combination of education and experience.

 Knowledge, Ability and Skill

Working knowledge of office practices and procedures.  General knowledge of department operations, policies and procedures.

 Ability to establish and maintain effective and harmonious working relationships with town officials and departments, state agencies and the general public.  Ability to organize time, work independently, and accomplish tasks in a timely manner.  Ability to communicate effectively in written and oral form, including the ability to compose correspondence and to prepare, type, and proofread reports as to form and logical flow.  Ability to maintain highly confidential information.  Ability to operate a computer, telephone, and standard office equipment. 

 Must have excellent administrative, clerical and customer service skills.  The position requires excellent organizational skills and particular attention to detail.  Skill in operating computers and applicable word processing, spreadsheets, databases, and statistical applications as well as the internet.
