Description:

The secretary for the postsecondary programs is a critical administrative support position requiring the application of modern office techniques, computer software knowledge and the ability to work cooperatively as a member of the administrative support team. The ability to interact with both adults and adolescents, exhibit sound interpersonal traits and possess good communication skills is essential. Professional demeanor, attire and presentation are critical for success. This position requires self-motivation, strong organizational skills, the ability to multi-task, to seek self-improvement and be flexible. The secretary provides recommendations, develops courses of action and ensures that required tasks are completed in a timely and accurate manner. The description of primary duties and responsibilities also requires a working knowledge of other responsibilities within the administrative support team to provide a continuity of effort. This is a full-time year-round (12 month) position.

QUALIFICATIONS

  • High school graduate supplemented by recent work experience or postsecondary education.
  • Ability to be tactful, courteous, flexible, creative and innovative.
  • Proficient in Microsoft Office 365.
  • Familiarity with student financial aid requirements.
  • Familiarity with professional accreditation reporting requirements.
Requirements:

DUTIES AND RESPONSIBILITIES

  • Responsible for admissions and recruiting correspondence and schedules.
  • Responsible for coordinating with the financial aid director.
  • Serves as the point of contact for students regarding admissions, financial aid, and general inquiries.
  • Responsible for receiving payments to turnover to the District office and maintaining payment records to be reconciled with the District office.
  • Responsible to assist in recruitment presentations and marketing events.
  • Prepares correspondence, schedules and records for the postsecondary programs.
  • Preparation of reports for DESE, accrediting and other related agencies.
  • Preparation of statistical surveys, grants and required reports.
  • Ensures policies and procedures are up to date and in compliance with regulatory requirements.
  • Responsible for maintaining and disposing of student records and transcripts in accordance with state regulations.
  • Responsible for alumni and graduate records and reporting.
  • Responsible for maintaining advisory committee records and correspondence.
  • Coordinates and oversees prerequisite testing held in evenings for the Practical Nursing Program.
  • Responsible for all graduations and related activities.
  • Responsible for updating website information.
  • Responsible for coordinating scholarship donations and awards.
  • Responsible for updating brochures, catalogues, and related materials.
  • Attendance at some evening events is required.
  • Performs other relevant duties as assigned by the superintendent.
