MOLARI is seeking a highly organized, proactive, and detail-oriented Part-Time Office Administrator on behalf of our client, a professional office located in Stockbridge, MA. This position will support daily office operations, project administration, scheduling, documentation, and communication. This is an excellent opportunity for someone who enjoys keeping people, projects, and information organized in a collaborative and professional office environment.
Part-Time, In-Person | 20-25 Hours per Week $25-$30/Hour DOE (Depending on Experience) Temp-to-Hire Opportunity Key Responsibilities - Answer phones, manage general office communications, and ensure timely follow-up on inquiries.
- Support scheduling, meeting coordination, calendars, mail, office supplies, shipping, and general office organization.
- Maintain project files, office records, contracts, certificates, and administrative documentation.
- Track project information, deadlines, action items, meeting notes, and follow-up tasks.
- Coordinate with clients, consultants, contractors, vendors, IT support providers, and bookkeeping resources as needed.
- Manage billing records, receipts, invoices, and supporting documentation for bookkeeping.
- Assist with onboarding, employee paperwork, scheduling, office events, and internal administrative coordination.
- Help improve office systems, digital filing processes, password and access management, and project tracking workflows.
- Provide general administrative support to ensure efficient day-to-day office operations.
Qualifications - 5+ years of experience in office administration, executive assistance, project coordination, office management, or a related role.
- Exceptional organizational skills and strong attention to detail.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office, email platforms, calendars, PDFs, and general office technology.
- Ability to manage multiple priorities and consistently follow through on tasks.
- Professional, trustworthy, and able to handle confidential information with discretion.
- Strong interpersonal skills and a collaborative work style.
- Experience in architecture, interior design, construction, real estate, engineering, legal, accounting, or other professional services environments is a plus, but not required.
Schedule & LocationThis is an in-person position based in Stockbridge, MA. The anticipated schedule is approximately 20-25 hours per week, ideally spread across 3-4 weekdays.
