Williams College is excited to announce an opening for a Student Involvement & Events Assistant. This position is responsible for coordination of logistics for student organizations, student government, student events, and more as part of the Student involvement and Events team within the Office of Campus Life (OCL).

This position is highly integrated in the student experience at Williams, as you will have the unique opportunity to support execution of events for approximately 180 student groups representing many different areas of interest and aspects of identity. Additionally you will have touch points with every office across campus through the facilitation of the room scheduler.

Responsibilities Specific responsibilities include (but are not limited to):
- Day-to-day administration of the college's online room scheduler software in select spaces.
- Advise & assist student event planners with the details of their events.
- Coordinate logistics for student events and OCL events, including supply orders & inventory, professional temp staff scheduling, work requests through Facilities, arranging large furniture moves through a local vendor, bracelet distribution for events with alcohol, and for larger programs, on-site execution of logistical support for the program in real-time.
- Transport supplies and equipment to event sites and assist with set up for both indoor on campus and outdoor tent events.
- Coordinate student event registration and all correlated communications with campus colleagues.
- Significant interaction & communication with students as well as with colleagues in several departments across campus.
- Assist the Associate Director for Student Centers & Events with annual senior class signature events, in collaboration with class officers, OCL colleagues, and related campus departments
- Coordinate the Eph Moments of Joy (EMoJ) signature program during the fall and spring semesters.
- Assist the Financial & Administrative Coordinator with purchasing card reconciliations for student purchases
- Provide administrative support for the Associate Director.
Qualifications & Experience The successful candidate will possess:
- A minimum of 2 years related experience, or equivalent education & experience. Bachelor's degree not required; recent grads will be considered as well as those with alternative credentials
- Strong attention to detail & strong organization skills required; prior experience tracking budgets would be helpful
- Strong people skills, a friendly and approachable demeanor, and the ability to calmly de-escalate difficult situations
- Experience with and commitment to supporting diverse, inclusive, and equitable communities especially any prior experience working with college age student populations
- Experience with supervision of volunteers and/or hiring temporary staff to work is desirable
- Proficiency in Microsoft Office and Google Suite; understanding of internet for marketing and website updating (WordPress desirable); ability to quickly learn additional specialized college software/databases
Employment & Application Information Application review will begin on July 19, 2024 and continue until position is filled. Pay range is from $21 to $24 per hour, commensurate with experience. This position will require a significant on-campus presence, but hybrid on-site/remote work arrangements may be available with approval for employees based in NY, MA, CT, or VT; subject to review and revision as policy evolves.
