Opening Details

Williams College seeks an enthusiastic professional to join our fast-moving team and fulfill an important role as the Major Giving Administrative Assistant. The assistant will work in a benefitted, 20-hour per week role within the College. This new position operationally supports initiatives associated with the Major Giving program. The major giving team works to fulfill the college's highest aspirations by securing gifts in support of those goals.

Reporting to the Director of Major Giving, the Assistant will serve a critical role providing essential data entry functions related to meetings, events and other encounters with prospective donors to the college. Specific skills include experience in a data entry role, comfort with highly complex databases, time management skills, and a high attention to detail. The ability to triage a high volume of requests and questions with appropriate responses or referrals will be an asset.

Hybrid on-site/remote work arrangements may be available 2 days per week after an initial training period with approval for employees based in NY, MA, CT, or VT; subject to review and revision as policy evolves.

Responsibilities
  • Enter all gift officer contact reports as soon as they are submitted
  • Enter all responses related to event attendance
  • Back up Major Giving Coordinators and support the data entry processes they are responsible for including all information related to gift proposals and donor information
  • Retrieve data for team members upon request
  • Assist in ensuring a smooth transition to our new database system.
  • Other related duties as they evolve.

Qualifications
  • 2 or more years of relevant experience is required
  • Direct experience coordinating and carrying out administrative and data entry tasks
  • Solid detailed time management skills and the ability to work in a fast paced environment with time sensitive requirements
  • Ability to provide excellent customer service to a diverse population of students, faculty and staff
  • Ability to quickly learn new and highly layered databases
