Northern Berkshire United Way (NBUW) is an independent local agency founded over 80 years ago, dedicated to enhancing the well-being in the communities of Adams, North Adams, Williamstown, Clarksburg, Savoy, Cheshire, Florida in Massachusetts, and Stamford, Vermont. NBUW gathers data on community issues and progress, evaluates agencies, and provides funds and other vital services to strengthen effective programs in priority areas of need to our 20 member agencies. We serve as a community convener to critical issues of concern in Northern Berkshire.

• Proficiency in MS Office and familiarity with database programs such as Donation Tracker software, Constant Contact, Eventbrite, Facebook, and other necessary applications. - Preference: Preferred

The ideal candidate for this part-time position will possess exceptional communication skills, a positive and proactive attitude, and the ability to perform a wide range of administrative tasks and outreach coordination.  As the Administrative Assistant, you will contribute to the success of the Northern Berkshire United Way office by providing professional assistance through various channels, including phone, mail, and email.  You will be a valuable presence in the workplace; You will be prepared, responsive, and eager to tackle challenges that come your way.  Proficiency in verbal and written communication is essential, and a genuine desire to meet the needs of others is a must.  On-the-job training is provided.  Most importantly, you should have a genuine desire to meet the needs of others. 

Provide administrative support to the Executive Director and other team members as needed, including scheduling, document preparation, and data entry.

Maintain agency donations and pledges in the fundraising database.

Basic office management and tasks, such as filing, generating reports and presentations, setting up meetings, and reordering supplies.  Answer telephone, type routine correspondence and other materials, and run basic daily errands. 

Manage and maintain files, records, and databases, both electronic and hard copy.

Event Coordination:

  • Assist in planning and coordinating special events, including fundraisers, volunteer appreciation events, and community engagement activities.
  • Collaborate with internal and external stakeholders to ensure events run smoothly and meet their objectives.
  • Assist in event logistics, including venue selection, catering, and coordinating event materials.

Communication and Outreach:

  • Support communication efforts related to special events, including marketing materials, newsletters, and social media updates.
  • Assist in responding to inquiries and communications from donors, volunteers, and community partners.
  • Donor and Volunteer Relations: Assist in maintaining positive relationships with donors and volunteers by providing excellent customer service and support.
  • Greet each client or visitor in a friendly and professional manner.
